Manage team member access to the Buddy Booking Platform by creating and maintaining user accounts with appropriate permissions

Booking Users are your team members who need access to the platform to manage bookings, activities, and other business operations. Proper user management ensures secure and efficient platform access while maintaining operational control.

User Management

Booking Users can be accessed by navigating to Settings > People > Booking Users.

Adding New Users

You can invite users by navigating to Settings > Booking Users > Click on Invite New User in the top right corner.

Fill in the required information in the user invite dialog box.

  • Enter user's email address

  • Provide first and last name

  • Assign appropriate user group

  • Send platform invitation

The system first checks if the email address already has an account. If found:

  • Existing name details auto-populate. Verify information accuracy to avoid issues at this stage

  • Select the desired User Group

  • Send access invitation

User action after invitation is sent

The user needs to accept the invite in order to gain access to the business on the Booking Platform. The process is slightly different for new users and existing users.

New Users

  • Receives email invitation

  • Create platform password

  • Accept business invitation

Existing Users

  • Receives access invitation

  • Review business details

  • Accept or decline invitation

  • Gain immediate access upon acceptance

Note that a user could be added to multiple businesses.

Account Management

You can remove user or update their role by navigating to Settings > Booking Users > Click on 3-dots in Actions column > Delete or Edit based on the desired action.

The user table also displays the invitation status. Accounts with pending acceptance shows Invitation Pending status. Note that user that rejects the invitation is removed from the booking users list.

Q: What happens after I invite a new user?

A: The invited user receives an invitation email and needs to accept it to join your business.

Q: Can I invite users before business verification?

A: No, your business must complete verification before adding users because:

  • This ensures platform security

  • Maintains business integrity

  • Protects customer data

  • Follows compliance requirements

Q: How do I handle user departures?

A: You can remove a user from your business by navigating to Settings > Booking Users > Click on 3-dots in Actions column > Delete.

Q: What if a user forgets their password?

A: Users can reset passwords by:

  1. Using the forgot password link

  2. Verifying email address

  3. Setting new password

  4. Regaining account access

The process maintains security while providing quick recovery.

Permission Management

Q: Can users have different permissions in multiple businesses?

A: Yes, if a user works with multiple businesses:

  • Each business assigns appropriate permissions

  • Permissions remain separate

  • Access stays business-specific

Q: How do I update user permissions?

A: You can update user permissions by update their assigned user group. This can be done by navigating to Settings > Booking Users > Click on 3-dots in Actions column > Edit.

Security

Q: What security features are available?

A: You can enable two-factor authentication to secure your account. The two-factor authentication works with SMS based one-time password verification.

Troubleshooting

Q: Why isn't a user receiving their invitation?

A: Check these elements:

  • Email address accuracy

  • Spam folder delivery

  • User's email filters

Q: I invited a user however, they are no longer in the user list.

A: The user is removed from the list if they decline the invite. If the invite was accidentally declined, send a new one.
